Jobs are booked, the waterfront is filling up again and the phone keeps ringing. Then February arrives, the bank balance is thin and you can’t work out where the money went.

Geelong business cash flow follows a pattern. Trades and building businesses slow down over Christmas, hospitality and retail have their biggest weeks, and the December quarter BAS lands at the end of February. The short answer is to plan your cash for December to February now, while you still have time to change it.

This guide covers what drives cash flow for Geelong businesses, a step-by-step plan for the next 12 weeks, a worked example with real-looking numbers, and where to get local help. If you want someone to look over your numbers with you, our Geelong CFO and accounting team works with local businesses every day.

In short:

Most Geelong businesses face their tightest cash weeks between late December and the end of February.

Collecting overdue invoices before Christmas is the fastest way to protect your January bank balance.

The October to December quarter BAS is due on 28 February, so set that money aside weekly from now.

Payday super started on 1 July 2026, so super now leaves your account every pay run, not once a quarter.

A simple 13-week cash forecast shows you a shortfall weeks before it happens, while you can still fix it.

Why is cash flow tight for Geelong businesses over summer?

Cash gets tight over summer because money goes out at a steady rate while money comes in unevenly. Wages, rent and loan repayments don’t take a holiday. Sales and collections often do.

Greater Geelong is a large economy with its own rhythm. Its gross regional product was about $20.5 billion in 2023/24, and the biggest local employers by industry were health care, construction, retail and education, according to the City of Greater Geelong economic profile. Each of those sectors feels summer differently:

Trades and construction: sites close for a stretch over Christmas, so December invoicing drops and January collections drop with it. Staff are still paid their leave.

Hospitality and tourism: the waterfront, the Bellarine and the Surf Coast fill up, so sales rise, but so do wages, penalty rates and stock.

Retail and eCommerce: stock is bought in October and November and paid for before most of it sells.

Professional services: clients pause decisions in January, so new work and billing slow down.

What cash flow dates should Geelong owners plan for?

There are four dates that matter most between now and March. Put them in your calendar this week.

Date

What happens

Cash flow effect

Every pay run

Payday super is due within 7 business days

Super now leaves weekly or fortnightly, not quarterly

Mid to late December

Many trades and offices close

Less invoicing in December means less cash in January

Late January

Business picks back up

Suppliers and materials are paid before new invoices are collected

28 February

October to December quarter BAS due

GST and PAYG withholding from your busiest quarter fall due together

The payday super change is new this year. From 1 July 2026, employers must make sure super reaches each employee’s fund within 7 business days of payday, as explained by the Fair Work Ombudsman. If you used to hold super for a few months as a short-term buffer, that buffer is gone.

The December quarter BAS is also different from the others. It’s already due later, on 28 February, so the usual extra time for lodging through a tax or BAS agent doesn’t apply to it. Our guide on how much to set aside for BAS each month shows you how to work out the right weekly amount.

How do you plan Geelong business cash flow for the next 12 weeks?

Start with a 13-week cash forecast, then act on what it shows you. You can do the first version in an afternoon with your Xero data.

Start with today’s bank balance. Use the real number in your accounts, not the figure in your head.

List the cash you expect to collect each week. Use your aged receivables report and be honest about who pays late. Do not count invoices you haven’t sent yet as cash in hand.

List every payment by week. Include wages, super on each payday, rent, loan repayments, supplier bills, insurance and the BAS on 28 February.

Mark your shutdown weeks. If you close from 20 December to mid January, show almost no new invoicing in those weeks.

Find your lowest week. That’s the number to fix. Ask how far below a safe buffer it falls.

Choose your fixes now. Chase overdue invoices, bill progress claims before the break, agree supplier terms and set up a separate BAS account.

Update it every Monday. Replace forecasts with actual figures each week, so the forecast stays useful into March.

If you’d like a head start, our free Excel template, Run your business with Complete Financial Clarity, gives you a ready-made layout for tracking your numbers.

Worked example: a Geelong electrical contractor over Christmas

This is an example with made-up but realistic numbers. It isn’t a real client.

Picture an electrical contractor in Geelong’s south with about $4 million in yearly revenue. They invoice around $340,000 in a normal month, customers pay on 30-day terms, and the team shuts down from just before Christmas to mid January. They have $90,000 in the bank at the start of December.

Here’s what the forecast showed for December to February.

Item

December

January

February

Cash collected from customers

$340,000

$250,000

$200,000

Wages and super

$125,000

$125,000

$125,000

Suppliers and materials

$150,000

$90,000

$120,000

Rent, vehicles and other overheads

$45,000

$45,000

$45,000

December quarter BAS

$0

$0

$60,000

Net cash for the month

+$20,000

minus $10,000

minus $150,000

Bank balance at month end

$110,000

$100,000

minus $50,000

The business was profitable all year, yet it would have been $50,000 overdrawn at the end of February. The shutdown cut December invoicing, which cut January and February collections, and the BAS from a strong quarter landed on top.

The owner made three changes in October:

Chased $60,000 of invoices that were more than 60 days overdue, and collected them in December.

Agreed 45-day terms with their main wholesaler for February purchases, which moved $40,000 of payments into March.

Started moving $5,000 a week into a separate BAS account, so the February payment didn’t come as a shock.

With the first two changes, the end of February balance moved from minus $50,000 to plus $50,000. That’s a $100,000 swing without borrowing a dollar, simply by acting three months early. For trade-specific ideas, see our post on cash flow and debt advice for electrical contractors.

How can you improve cash flow before Christmas?

Focus on what brings cash in sooner and what pushes cash out later. Small changes made in October and November have the biggest effect on January.

Bring cash in sooner

Invoice the day the job is done, not at the end of the month.

Bill progress claims and deposits before your shutdown starts.

Call your five largest overdue customers this week. A friendly phone call works better than a third reminder email.

Offer card or direct debit payment so customers can pay on the spot.

Push cash out later, carefully

Ask key suppliers for longer terms on January and February orders. Ask now, not when the bill is overdue.

Hold off on non-urgent equipment purchases until after the BAS is paid.

Match rosters to real demand, especially in hospitality where summer wages climb fast.

If the forecast still shows a gap, talk to your bank before Christmas about a working capital facility. Banks are far more helpful when you come early with a forecast than when you call in a panic.

An accountant shows you what already happened. A CFO shows you what to do next.

Where can Geelong businesses get local help with cash flow?

Geelong has a strong local support network, much of it free or low cost. Small businesses make up the large majority of the local business community, and several groups exist to support them.

City of Greater Geelong: runs free and low-cost training, mentoring, a business events calendar and the Geelong Small Business Festival each August.

Geelong Chamber of Commerce: runs networking and advocacy for local businesses and partners with the City on the festival.

Business Victoria: offers free cash flow guides and templates, plus mentoring through the Small Business Bus, which visits regional areas including Geelong.

These are great for learning the basics. When you need someone to build the forecast with you, read your numbers every month and help you decide what to do next, that’s where a virtual CFO (sometimes called an outsourced or fractional CFO) fits in. Our advisors are based in Geelong and Melbourne, backed by our own in-house bookkeeping team, who can get your books current if they need tidying first.

Across our clients, we’ve seen an average 29% lift in profit and a 17% lift in cash flow. Results vary from business to business.

Common questions

Does payday super make cash flow harder?

Payday super doesn’t increase the total you pay, but it changes the timing. Super now goes out within 7 business days of each payday instead of once a quarter. If you used to rely on holding super for a few months, build that money into each pay run in your forecast.

When is the December quarter BAS due?

The October to December quarter BAS is due on 28 February. Unlike other quarters, it doesn’t get extra time if you lodge through a tax or BAS agent, because the due date already includes an extension. You can check the dates on the ATO’s BAS due dates page.

How big should my cash buffer be over summer?

A common rule of thumb is to keep enough cash to cover your fixed costs for at least four to eight weeks. Seasonal businesses in Geelong, like trades that shut down or tourism businesses facing a quiet winter, often aim for the higher end. Your forecast will show the right number for your business.

Is a separate bank account for GST really worth it?

Yes, for most businesses it’s one of the simplest fixes. When GST and PAYG withholding sit in your main account, they look like spending money. Moving a set amount each week into a separate account means the BAS is already paid for when it falls due.

Want a clear cash flow plan for summer?

If you’d like help building your 13-week forecast and a plan for February, book a free call with our team.
